Company Overview
We are a premier, fast-growing commercial construction company. We have built a rock-solid reputation based on operational excellence, precise estimating, and high-quality project execution. As we scale toward our long-term growth goals, we are investing heavily in our future pipeline. We are looking for a proactive, organized, and relentless Preconstruction & Business Development Coordinator to spearhead our procurement and lead-generation efforts.
Position Mission & Schedule
The mission of this role is simple: Ensure our company never runs out of quality projects to bid. You will not be performing takeoffs or estimating project costs. Instead, you will be the "engine" of our pipeline—actively hunting for public and private bidding opportunities, managing agency registrations, building relationships, and organizing bulletproof bid packages for our estimating team.
Work Schedule: This is a full-time remote position working 5:00 PM – 1:00 AM Philippine Standard Time (PHT) to align with US business hours.
Key Responsibilities
1. Lead Generation & Portal Management
Monitor all procurement and bidding platforms daily.
Actively identify and download upcoming public and private sector projects that align with our core capabilities.
Research capital improvement programs, permit activities, bond programs, and local planning meetings to find projects months before they go to bid.
2. Document Control & Bid Organization
Download and systematically organize complete project plans, specifications, addenda, geotechnical reports, and bid forms.
Continuously monitor addenda to ensure the estimating department is always working from the absolute latest documents.
Build a standardized "Bid Package" and write brief project summaries for the estimating team prior to the hand-off.
Own, update, and manage the company’s Master Bid Calendar to ensure zero missed deadlines or mandatory pre-bid meetings.
3. Compliance & Vendor Registrations
Register and maintain our active status with target municipalities, school districts, universities, private developers, and major general contractors.
Maintain a secure, meticulously organized Master Registration Tracker housing all company credentials, usernames, passwords, renewal dates, and certifications.
4. Relationship Management & Outreach
Introduce our company to architects, developers, owners, municipal engineers, and general contractors to secure invitations to bid (ITBs).
Conduct consistent, professional follow-ups on submitted proposals to build long-term relationships and track award statuses.
What Type of Person We Are Looking For
The Hunter Mindset: You wake up every single day asking yourself, "What new opportunities can I bring to the table today?"
Meticulously Organized: You love spreadsheets, clear folder structures, and digital systems. Details never slip past you.
Proactive & Persistent: You don't wait for things to happen; you dig for answers, pick up the phone, and find a way to get the information needed.
Tech-Savvy: Comfortable navigating digital blueprints and software. Proficient with PDFs, cloud storage (Dropbox/Google Drive), Bluebeam, Microsoft Office, and CRM/bidding platforms.
Excellent Communicator: Elite English communication skills (both written and verbal) for building cold and warm relationships with industry professionals.
Requirements & Qualifications
Availability: Must be fully available and equipped to work the 5:00 PM – 1:00 AM PHT shift.
Experience in construction lead generation, business development coordination, legal/government research, or procurement assistance is highly preferred.
Note: Deep technical estimating experience is NOT required. We value an analytical, investigative, and organized mind over the ability to price a project.
Ability to quickly learn and understand basic construction plans, scopes of work, and industry terminology.
Proven track record of managing calendars, tight deadlines, and complex digital documents.
