We are looking for a compassionate and detail-oriented Clinic Administrative Assistant to join our team. You will be the first point of contact for patients, ensuring a welcoming experience while managing clinic operations efficiently.

Rate: Php45,000 monthly

Qualifications:

> At least 2 years experience as a Virtual Assistant preferably in a healthcare setting (eg. Physiotherapy, Dental clinics, Osteopathy, Chiropractic's, Naturopathy, Mental Health etc.)
> Experience in healthcare administration or patient coordination (preferred).
> Strong communication and customer service skills.
> Background in digital marketing for a medical clinic is a plus.
> Familiarity with healthcare software tools (EMR/EHR -> WEBPT, JANE APP, PracticeQ, Juvono etc.) and Web-based tools (Wix, Canva, GoHighLevel).
> Knowledgeable with MS Excel, Google Workspace (Google Spreadsheet, Google Docs, etc.)
> Experienced in handling insurance claims (MVA,WSIB, BlueCross, Sun life, etc.) , billing, etc.
> Detail-oriented, tech-savvy, and able to multitask.
> Professional, compassionate, and patient-focused.

Responsibilities:

> Greet and assist patients warmly via phone and email.
> Explain basic ketamine treatment information (training provided).
> Manage calls, emails, faxes, and patient inquiries promptly.
> Verify patient information and maintain accurate medical records.
> Schedule and confirm appointments, track follow-ups, and handle referrals.
> Ensure confidentiality and security of patient data.
> Support marketing efforts, including email campaigns, social media, and website updates.
> Assist with clinic operations as needed.
