Virtual Assistant – Technology & Systems Coordinator

About Us

We are a growing residential and commercial painting/construction company looking for a highly organized, tech-savvy Virtual Assistant to become the owner of our technology ecosystem.

Your primary responsibility will be ensuring our software, apps, automations, and systems work together seamlessly while helping our team leverage technology more effectively. This is not a basic administrative VA role—we are looking for someone who enjoys solving technology problems, creating efficiencies, and improving business processes.

Position Overview

As our Technology & Systems Coordinator, you will manage and optimize our business technology stack, troubleshoot issues, maintain software integrations, and help implement new systems that improve productivity and communication across the company.

You will work directly with leadership to identify inefficiencies and create solutions using automation, AI, software integrations, and improved workflows.

Key Responsibilities
Technology Management
Serve as the primary coordinator for all company software and technology tools.
Ensure systems remain connected and functioning properly.
Monitor and troubleshoot integration issues between platforms.
Maintain user accounts, permissions, and software access.
Document systems, workflows, and processes.
Software & App Integration
Manage integrations between:
CRM
Project Management Software
QuickBooks
Airtable
Google Workspace
Slack
AI tools
Other company software
Build and maintain automations using tools such as:
Zapier
prismatic
Airtable Automations
Google Apps Script
AI workflows
Process Improvement
Identify manual processes that can be automated.
Recommend and implement technology solutions.
Create dashboards, reporting systems, and KPI tracking tools.
Improve communication and information flow between departments.
Technical Support
Assist tea ---------- mbers with software questions and troubleshooting.
Coordinate with software vendors and support teams when needed.
Train employees on new technology and processes.
Create SOPs and training documentation.
AI & Innovation
Research new AI and automation tools.
Help implement AI solutions within the business.
Continuously look for opportunities to improve efficiency through technology.

Requirements -
Must be able to work in Pacific time from 7am - 4pm Monday - Friday
Must be proficient in google workspace, google sheets
Must be very tech savvy and know how to set up automations with Zapier and prismatic
Must be familiar with - Hubspot, Airtable, google suite, quickboooks
Must be able to speak english well
Must be able to think on your own and help us implement better ways of using our tech stack to the companies advantage
Must bring a great attitude and jumping in to help not waiting on the sidelines until someone tells you what to do
must be great at making SOP's and helping us document all of our process
Must be a great communicator and not afraid to call or message to get the answers you need
