About us Tekton Construction, LLC is a Colorado Springs–based general contracting company focused on quality workmanship and excellent client communication. We do both commercial and residential projects.
Role summary We’re hiring an organized, proactive Office Manager / Virtual Assistant to support day-to-day operations, client communications, and construction bookkeeping. You will coordinate schedules, emails, manage client and vendor communications, maintain records and SOPs, and handle job-cost bookkeeping tasks using QuickBooks and Ressio. Looking to start at 20 hours a week and grow into full time with the right person.
Key responsibilities
• Manage calendars, schedule client appointments, crew start times, inspections, and subcontractor visits.
• Triage and respond to client emails and phone inquiries; maintain professional, timely communication.
• Maintain digital filing, contracts, change orders, permits, and job documentation.
• Perform construction bookkeeping: job-cost tracking, estimates vs. actuals, change order entry, invoicing, accounts payable and receivable, and reconciliation.
• Use QuickBooks (Online or Desktop) for day-to-day accounting tasks and reporting.
• Coordinate vendor and subcontractor onboarding, scheduling, and invoicing follow-up.
• Prepare meeting agendas, status reports, and action-item trackers.
• Support onboarding/offboarding, basic HR admin, and expense tracking.
• Assist with process improvements and ad-hoc operational projects.
Must-have qualifications
• Fluent English (spoken and written).
• Ability to work MST business hours (overlap with 9:00 AM–5:00 PM MT)
• Proven bookkeeping experience for construction or home remodeling businesses (job-cost tracking, change orders, estimates, invoicing, A/P, A/R).
• Proficiency with QuickBooks (Online or Desktop) applied to construction bookkeeping.
• 3+ years remote administrative, office management, or VA experience supporting service or construction teams.
• Strong calendar/project coordination skills and excellent phone/email customer service.
• High attention to detail and discretion handling confidential client/business information.
• Reliable internet, quiet workspace, and own computer.
Nice-to-have
• Experience with construction CRMs or estimating tools.
• Familiarity with permit processes and subcontractor management.
• Experience managing social reviews or light marketing support.
• Able to update website as necessary.
