JOB OVERVIEW

ABOUT THE ROLE

We are a busy Canadian mortgage brokerage looking for a reliable, detail oriented, and proactive Virtual Assistant based in the Philippines. This is a full time position working Canadian Eastern Time business hours. You will be working directly with the broker and team to support active mortgage files from application through to closing.

We do not work through agencies. You will report directly to the broker and will be a core part of a small and focused team. If you take pride in your work, communicate clearly, and want a stable long term role in the mortgage industry, this is the right opportunity for you.

RESPONSIBILITIES

1. Reviewing and organizing client documents including bank statements, T4s, pay stubs, letters of employment, identification, and property documents.
2. Flagging incomplete, missing, or incorrect documents before they are uploaded to lender portals.
3. Updating and maintaining our active pipeline tracker in Google Sheets daily.
4. Following up with clients for outstanding documents via email and phone.
5. Uploading documents to lender portals including Velocity.
6. Sending templated follow up emails and client communication drafts for broker review.
7. Organizing and naming files in Google Drive according to our filing system.
8. Updating deal statuses and notes in our GoHighLevel CRM.
9. Completing assigned tasks independently and reporting back with results or flagging blockers immediately.
10. Attending a weekly team call every Monday and sending a daily written update Tuesday through Friday.

REQUIREMENTS (Non-Negotiable)

1. Minimum 2 years experience as a Virtual Assistant in mortgage, real estate, or financial services.
2. Strong working knowledge of mortgage document types and the general mortgage application process.
3. Excellent written and spoken English.
4. Extremely strong attention to detail. Errors in mortgage files have real consequences.
5. Professional quiet work environment with no background noise during calls.
6. Reliable high speed internet connection.
7. Available to work Canadian Eastern Time business hours Monday through Friday.
8. Proactive communicator. You do not go silent. You ask questions when stuck and report back when tasks are complete.
9. Experience with Google Drive, Google Sheets, and Gmail.
10. Experience with GoHighLevel or any mortgage CRM is a strong asset.
11. Experience with Velocity or any Canadian lender portal is a strong asset.

WHAT WE OFFER
