About the Company
Summer House Media Co. is a growing media company focused on creating and distributing positive, purpose-driven content across digital and print platforms.

The company is launching with two initial projects: a YouTube channel and an EDDM direct mail advertising program that helps small businesses and entrepreneurs reach local households through postcard advertising. Over time, the company plans to expand into additional media projects, including podcasts, books, social media channels, email campaigns, digital products, branded content, and other creative initiatives.

Role Overview
We are looking for a reliable, organized, and proactive Virtual Assistant to support both the YouTube and EDDM projects. This role will help manage timelines, organize assets, support production workflows, document processes, and keep both projects moving forward.

This is a dynamic role for someone who enjoys variety, structure, media, marketing, and operations. The ideal candidate is detail-oriented, tech-savvy, resourceful, and comfortable supporting both creative and administrative tasks.

As Summer House Media Co. grows, there may be opportunities for this role to expand into larger responsibilities across media operations, production coordination, project management, and future media initiatives.

Key Responsibilities
The VA may support:
* YouTube channel setup, content planning, production tracking, upload preparation, and performance tracking
* Research for video ideas, keywords, titles, thumbnails, descriptions, and trends
* Organization of scripts, footage, thumbnails, captions, creative assets, and publishing materials
* EDDM campaign coordination from sales handoff through design, proofing, print submission, and mailing support
* Collection and organization of advertiser information, logos, offers, and creative assets
* Follow-up with advertisers, vendors, designers, editors, printers, or contractors as needed
* Maintenance of project trackers, calendars, checklists, folders, and deadlines
* Creation and updating of SOPs, templates, training documents, and repeatable workflows
* Quality control reviews to ensure details are accurate before publishing, printing, or distribution
* Weekly status updates that summarize progress, priorities, risks, delays, and next steps
* General administrative and operations support related to current and future media projects

Preferred Experience
Experience in one or more of the following areas is preferred:
* Virtual assistant or operations support
* YouTube channel or content production support
* Social media or digital content coordination
* Project management
* Direct mail, print production, or advertising coordination
* Working with freelancers, designers, editors, printers, or vendors
* SOP creation, documentation, and process improvement
* Tools such as Google Drive, Google Docs, Google Sheets, Canva, YouTube Studio, Trello, Asana, ClickUp, Notion, ---------- , or similar platforms

Prior experience with every tool is not required, but the candidate should be comfortable learning new systems quickly.

Expectations
The VA will be expected to:
* Keep tasks, files, and deadlines clearly organized
* Provide timely updates and communicate delays early
* Take ownership of assigned tasks from start to finish
* Follow established processes while helping improve them
* Ask thoughtful questions when direction is unclear
* Maintain confidentiality around company projects, vendors, campaign details, and business plans
* Balance both project areas based on weekly priorities
* Help build repeatable systems as the company grows

Success in this role means both administration and projects are organized, deadlines are tracked, assets are easy to find, communication is clear, and production workflows are documented. The VA will help reduce founder workload, keep projects moving, and support the company’s growth into future media initiatives.
