We are a U.S.-based private money lending company that provides short-term, asset-based loans to real estate investors. We focus on first- and second-position loans, bridge funding, gap funding, and creative real estate transactions.

Role Overview
We are hiring a Loan Processor / Lending Operations Coordinator to run borrower intake, manage our loan pipeline, and prepare deal files for underwriting. This role is the operational backbone of our lending business and works directly with borrowers, brokers, and internal leadership.

This is not a bank mortgage role. You will support private money and creative real estate deals using a CRM pipeline (GoHighLevel) and documented internal SOPs.

Key Responsibilities

Borrower Intake & Pipeline Management
Respond to new borrower applications and CRM inquiries the same business day
Send first-touch outreach to all new borrower leads promptly
Follow up consistently to collect missing application items
Accurately track and update borrower status through the correct CRM pipeline stages
Keep the pipeline clean — no stale files, no unanswered leads
Flag urgent or high-priority deals for leadership without delay


Loan File Organization & Documentation
Create and maintain borrower folders in Google Drive per company naming conventions
Collect ALL required documents before escalating a file: purchase agreement, rehab budget/scope of work, ARV comps, property photos, borrower ID, LLC documents (Operating Agreement + proof of good standing), verified HUDs, insurance, and a clearly stated exit strategy
Track all documents and file status accurately in the CRM
Submit complete, clearly labeled files that are ready for underwriting


SOP Adherence & Deal Pre-Qualification
Pre-qualify deals against our lending criteria before escalating (private money vs. hard money vs. hybrid)
Apply our quick-screen criteria accurately (LTV, borrower spread, combined leverage, close timeline)
Verify all non-negotiable borrower requirements
Route deals that fall outside our criteria to our referral process per SOP
Escalate unclear or borderline deals to leadership — never force a file through

Communication & Reporting

Provide consistent daily end-of-day (EOD) updates: completed, pending, needs attention
Communicate professionally and clearly with borrowers throughout the loan process
Proactively surface open loops, urgent items, and potential issues without being asked
Log all borrower conversations and decisions in the CRM accurately and promptly

Important Authority Boundaries

You will prepare, organize, and pre-qualify deals — but you will not approve loans, set terms, or make funding decisions. All approvals and final decisions stay with internal leadership.
Requirements

2+ years experience in real estate transactions, loan processing, or lending support
Strong attention to detail and organization
Excellent written and spoken English
Comfortable communicating with U.S.-based clients
Ability to manage multiple deals at once without dropping follow-ups
Experience using CRMs and pipeline-based systems
Reliable daily availability and consistent EOD reporting

Nice to Have (Not Required)

Private money, hard money, or creative real estate (subject-to, seller finance) experience
Familiarity with real estate investing terminology and underwriting basics (ARV, LTV, HUDs, exit strategy)
Experience pulling comps (e.g., PropStream, Redfin)
GoHighLevel or similar CRM experience

Clean, accurate CRM records with every lead answered
Deals move smoothly with minimal rework
Files reach leadership complete and ready for underwriting
Borrowers feel informed and supported
Leadership does not need to fix or chase files

Growth Path

Strong performers move into expanded responsibility: full pipeline management without daily supervision, loan-file audits, lead generation in investor communities, weekly pipeline and loan-admin reporting, and coordinating document requests with borrowers and title companies.
