Lead Response & Scheduling Coordinator (Virtual Assistant)

We’re a growing exterior cleaning company based in Alberta, Canada (Silvertip Wash Co.) looking for a sharp, fast-moving VA to help us respond to leads quickly and keep the owner’s schedule organized and running efficiently.

Speed matters in this business. When someone reaches out for a quote, the first company to respond usually wins the job. Your role is to make sure we’re always first.

What you’ll be doing:

• Monitoring the inbox in real time and flagging every new lead immediately
• Sending instant acknowledgment messages to new leads using pre-written templates
• Booking quote appointments into the owner’s schedule, grouping by area to minimize drive time
• Following up with leads that haven’t responded within 24–48 hours
• Organizing the inbox into clear categories — new leads, active quotes, and client messages requiring a response
• Calling clients after completed jobs to check satisfaction and encourage a Google review (happy calls)
• Managing and updating jobs in Jobber (our scheduling and CRM software)

What we’re looking for:

• Excellent written and spoken English — warm, professional, and clear
• Someone who moves fast and doesn’t let things sit
• Comfortable making outbound calls to Canadian clients
• Experience with CRM or scheduling software (Jobber is a bonus)
• Available during Mountain Time business hours (MST)
• Reliable, proactive, and communicates early when something needs attention
