We are seeking a World-Class Executive Assistant to partner with our CEO—anticipating needs, driving efficiency, and upholding the highest standards of excellence as a core member of the CEO’s office staff.
Position Overview
As the Junior Executive Assistant to the CEO, you will provide direct, high-level support. Your responsibilities will include managing the CEO’s calendar, coordinating communications on their behalf, and ensuring seamless day-to-day operations. You will embody Novus Global’s Meta Performance™ principles to help the CEO and the organization continue performing at the highest level.
Key Competencies
1) Strategic Support
- Proactively anticipate the CEO’s needs and solve problems before they arise
- Master calendar management (100?curacy - no exceptions) and strategically allocate the CEO’s time
- Protect and maximize the CEO’s energy through thoughtful scheduling
- Develop and refine systems to improve efficiency, minimize redundancy
2) Communication Excellence
- Represent the CEO through clear, professional communication across multiple channels
- Handle confidential information with the utmost discretion
- Respond promptly and effectively to urgent matters, ensuring the CEO is informed
- Manage expectations and updates with internal and external stakeholders
- Fluent, clear, articulate English-speaking skills
3) Technical Proficiency
- Expertly navigate platforms like Airtable, HubSpot, Microsoft/Google Suite
- Create and maintain organized documentation systems for the CEO’s office
- Implement and refine operational processes for maximum efficiency
- Seamlessly coordinate complex travel arrangements for the CEO
4) Leadership Qualities
- Own projects from concept to completion with minimal supervision
- Exercise sound judgment and quick decision-making skills
- Maintain composure under pressure in a high-intensity environment
- Show initiative and resourcefulness in solving challenges for the CEO

Key Responsibilities:
- Coordinate the CEO’s complex calendar and schedule
- Manage inbound and outbound communications, including
- Prepare and organize meeting materials, agendas, and follow-up items
- Process basic bookkeeping related to the CEO’s activities
- Track project timelines and deliverables, ensuring the CEO stays ahead of deadlines
- Serve as a key liaison with internal teams and external partners
Essential Qualities
- Exceptional attention to detail and organizational prowess

- Strong written and verbal communication skills
- Absolute commitment to confidentiality
- Tech-savvy and adept with G-Suite and other project management tools

Experience and Skills
- 2+ years of experience as an executive or professional assistant supporting senior leadership (CEO or equivalent)
- Proven track record in efficient calendar and travel management
- Proficiency in digital organization and documentation systems
- Background in client service or customer relations is a plus
- Prior experience in a fast-paced, professional environment preferred
