THE OPPORTUNITY
As Inventory Assistant, you will work at the operational heart of the Inventory team, keeping stock records accurate, Amazon FBA running cleanly, and our third-party logistics partners on track. This is not a passive role. You will be the person who catches discrepancies before they become customer problems, flags low stock before it becomes a lost sale, and ensures that every shipment entering or leaving the warehouse is accounted for correctly.

The role covers the full operational breadth of inventory management: from daily stock reconciliation across the IM Sheet and Power BI dashboards, to managing Amazon Seller Central shipments and processing FBA reimbursements, to coordinating with 3PL partners on inbound and outbound fulfilment. New product launches, including wallets, notebooks, and leather accessories targeting Q3 2026, will add meaningful scope and pace to the role over the coming months.

WHAT YOU WILL OWN
Stock Management and Control
Maintain accurate, up-to-date inventory records across the IM Sheet, Power BI dashboards, and all active e-commerce platforms — these records are the operational source of truth for the business
Update and manage stock levels on the Faire and Turis wholesale platforms, ensuring availability is always reflected correctly for trade buyers
Conduct regular cycle counts, spot checks, and full stocktakes; investigate and resolve discrepancies, variances, and shrinkage before they escalate
Monitor stock levels proactively and flag low-inventory or overstock situations to the Inventory Manager

Order Management and 3PL Coordination
Import and process orders into 3PL partner systems, double-checking previous orders for unfulfilled or incomplete items
Prepare and coordinate retail orders for dispatch, liaising with 3PL partners to ensure timely and accurate fulfilment
Process incoming shipments from suppliers and freight carriers, verifying quantities and quality, resolving delivery discrepancies, and updating stock records accurately

Amazon Seller Central and FBA Operations
Create and manage Amazon FBA shipments end-to-end in Seller Central, including video verification, status tracking, and updating the Shipment Status File
Process FBA reimbursement claims for missing or lost units, maintaining accurate dispute records

Reporting and Compliance
Prepare and distribute the OD Weekly Report; update, file, and manage OD dispute records for compliance charges and discrepancies
Generate inventory reports and variance summaries using the IM Sheet and Power BI
Support the Inventory Manager with inventory data for seasonal demand forecasting and buying decisions
Perform other ad hoc tasks as directed by the Inventory Manager or wider Operations team

WHO YOU ARE
Essential
Hands-on experience in an inventory, warehousing, or retail operations role — you have worked with stock, reconciled records, and managed order processes in a real operational environment
Confident working with inventory management tools and reporting platforms, whether that is a WMS, ERP, IM Sheet, or Power BI in combination
Practical experience with Amazon Seller Central and FBA processes, including shipment creation and account management
Strong numerical accuracy and attention to detail — you catch errors in data that others overlook, and you find reconciliation satisfying rather than tedious
Competent in Microsoft Excel or Google Sheets for reporting, data management, and variance analysis
A proactive communicator who flags issues early rather than waiting to be asked

Desirable
Experience with wholesale platforms such as Faire and/or Turis
Familiarity with 3PL order management, fulfilment workflows, and inbound shipment processing
Experience handling Amazon compliance charges, disputes, and FBA reimbursement claims
Understanding of FIFO stock rotation principles and inventory control best practices
Experience using AI tools to improve operational workflows or reporting efficiency


WHAT SUCCESS LOOKS LIKE
In this role, you will be successful when:
Inventory records across all platforms are accurate and current, with discrepancies investigated and resolved promptly.
Amazon FBA shipments are created, verified, and tracked without errors, and reimbursement claims are filed on time.
3PL orders are processed accurately, with fulfilment issues identified and escalated before they affect customers.
The OD Weekly Report and compliance records are maintained consistently and without prompting.
The Inventory Manager can rely on your data to make confident stock and buying decisions.
