Job Title: Insurance Operations Virtual Assistant (Workers’ Compensation)
Hours: 40 hours/week (Monday–Friday, 9:00 AM–5:00 PM EST)
Flexibility: Up to 45 hours/week with prior approval

Role Overview
We are seeking a highly experienced Insurance Operations Virtual Assistant to support a fast-paced payroll
company with complex workers’ compensation insurance workflows. This role is hands-on and operational,
requiring prior insurance experience, deep familiarity with U.S. payroll processes, and excellent communication
skills.
The ideal candidate will take ownership of day-to-day insurance tasks, reduce operational bottlenecks, and
proactively manage audits, policy servicing, and internal coordination.
Key Responsibilities
• Process workers’ compensation insurance proposals, policy binding, endorsements, and renewals
• Manage workers’ comp audits, including documentation collection, payroll validation, and carrier
communication
• Coordinate closely with payroll teams to ensure accurate insurance reporting and compliance
• Use EZLynx (EZLinks) to manage quotes, submissions, and policy data
• Handle inbound and outbound communication with clients, carriers, and internal stakeholders
• Track deadlines, follow up on outstanding items, and proactively flag issues before they escalate
• Maintain clear documentation and follow established SOPs, while suggesting improvements when needed
Strict Requirements (Non-Negotiable)
Candidates must meet all of the following criteria:
• Hands-on experience with Workers’ Compensation Insurance
• Strong understanding of U.S. payroll processes, including payroll reporting and audit support
• Proven EZLynx (EZLinks) expertise
• Top-tier English accent suitable for frequent communication with U.S.-based clients and partners
• Minimum of 2 years of experience in the insurance industry (workers’ comp or closely related lines
preferred)
Preferred Qualifications
• Experience working with payroll companies or PEO environments
• Prior exposure to high-volume or audit-heavy insurance workflows
• Strong organizational and task-prioritization skills
• Ability to work independently with minimal supervision
• Comfortable in fast-paced, deadline-driven environments
Success Metrics (First 30–60 Days)
• Independently manages day-to-day insurance tasks with minimal follow-up
• Workers’ comp audits and policy servicing are handled accurately and on time
• Clear workflows and documentation are maintained and improved where needed
• Noticeable reduction in backlog and operational stress for internal teams
• Proactive communication—issues are flagged early with proposed solutions
