We are seeking a detail-oriented and highly organized HR & Payroll Specialist to join a healthcare clinic based in California. This role is pivotal in supporting HR operations and ensuring smooth employee lifecycle management — from recruitment and onboarding to payroll and off boarding. The ideal candidate has a solid background in HR and payroll functions, with hands-on experience using ADP or similar payroll platforms, and a proven track record of managing remote teams across diverse business sectors. You will work during U.S business hours and get paid weekly + HMO.

Key Responsibilities
Payroll & Benefits Administration
- Manage end-to-end payroll processing using ADP or equivalent payroll software, ensuring accuracy and timely submissions
- Handle employee benefits inquiries and assist with benefits administration
- Input and maintain accurate 401(k) data and contributions
- Prepare and analyze payroll and HR-related reports
Recruitment & Onboarding
- Advertise job openings on relevant platforms
- Create and update job descriptions
- Screen and interview candidates via phone and video calls
- Conduct background checks and reference verifications
- Coordinate onboarding and induction for new hires
HR Operations
- Monitor and manage the HR inbox and respond to queries promptly
- Maintain and update HRIS and employee records
- Ensure compliance with company policies and employment laws
- Support staff training and development initiatives
- Manage remote employee documentation and communication
Employee Relations & Offboarding
- Assist in disciplinary meetings and documentation
- Issue formal warnings as needed
- Manage employee exits, including contract terminations and offboarding
- Communicate changes and updates to staff as required
Requirements
- Proven experience in HR and payroll functions
- Hands-on experience with ADP Workforce Now, ADP Run, or a comparable payroll platform (e.g., Gusto, Paychex, QuickBooks Payroll) is REQUIRED
- Strong knowledge of HRIS systems and payroll platforms
- Solid understanding of US payroll practices, tax regulations, and compliance
- Excellent written and verbal communication skills in English
- Strong organizational and time management abilities
- Ability to handle confidential and sensitive information with the utmost discretion
- Comfortable working independently in a fast-paced remote environment
Preferred Qualifications
- Experience processing payroll for US-based companies remotely
- Familiarity with 401(k) administration and employee benefits management
- Background working with multi-state payroll is a plus
- HR certification (PHR, SHRM-CP, or equivalent) is an advantage
