Job Type: Full-time (6 days per week)
We are a premium holiday home and short-term rental management company based in Dubai, specializing in high-quality, fully furnished units in some of the city’s most sought-after locations. Our properties consistently receive top-tier guest reviews, with an almost perfect rating on Airbnb. Our mission is simple: to deliver a seamless, 5-star experience for every guest, while maintaining professional, systemized operations behind the scenes.

Key Responsibilities:

1. Guest Communication:
Respond promptly and professionally to guest inquiries via Airbnb, Upgrade to see actual info, WhatsApp, and email.


Provide clear pre-arrival instructions, check-in/check-out information, and answer guest questions.


Handle guest requests, complaints, and special requests, ensuring a smooth, premium guest experience.


Follow up with guests post-check-out to encourage positive reviews.



2. Coordination with Service Providers & Maintenance:
Coordinate with cleaning teams and maintenance staff to ensure properties are cleaned, well-stocked, and guest-ready.


Coordinate with contractors or service providers to complete property maintenance tasks as required.


Arrange purchase of essential items (linens, amenities, basic appliances) when needed.



3. Administrative Tasks & Reporting:
Enter guest details for building management systems and DTCM (Dubai Tourism) compliance requirements.


Maintain organized records of guest communication, service schedules, maintenance requests, and property checklists.


Track property-related expenses, cleaning invoices, and service payments.


Prepare reports summarizing operations, guest feedback, service provider performance, and occupancy metrics.



4. Claims & Issue Management:
Handle filing of claims (through Airbnb or other channels) when damages, cancellations, or issues arise.


Coordinate resolution and follow-ups with guests or platforms as necessary.



5. Bookkeeping & Admin Support:
Assist with basic bookkeeping tasks, expense tracking, and invoice recording.


Support administrative tasks such as document preparation, spreadsheet management, and client/vendor communication.



6. Additional Support (Marketing Agency Tasks as Needed):
Assist with basic research tasks.


Perform data entry, file organization, and project management support.


Handle light social media tasks (e.g., scheduling posts, basic content updates).

Qualifications & Preferred Skills:
Required Qualifications:
Excellent written and spoken English communication skills.
Must be able to communicate professionally and clearly with guests, service providers, and contractors.


Strong organizational and time management skills.
Ability to manage multiple tasks, prioritize, and meet deadlines without constant supervision.


Detail-oriented with high accuracy in data entry and reporting.
Especially important for guest check-ins (building management, DTCM) and invoicing.


Quick response time (1 to 5 min) and ability to stay on top of guest and service provider requests.


Reliable internet connection and ability to work remotely.
Availability to cover flexible hours, including some weekends, to accommodate guest needs.


Proficiency with Google Workspace (Docs, Sheets, Calendar).
Comfortable managing spreadsheets, documents, and basic reporting.


Customer-oriented mindset.
Able to provide an excellent guest experience and handle inquiries or complaints professionally.



Preferred Skills & Experience:
Hard-working, proactive, and solution-focused.
Someone who takes initiative, solves problems without waiting to be told, and can make good decisions independently.


Leadership mindset.
Ability to coordinate contractors, cleaners, and service providers confidently, ensuring smooth operations.


Previous experience in hospitality, property management, Airbnb/short-term rental support, or virtual assistance roles.


Familiarity with Airbnb, Upgrade to see actual info platforms, or willingness to learn quickly.


Basic knowledge of bookkeeping principles (tracking expenses, invoices).


Experience coordinating service providers, contractors, or vendors.


Basic understanding of DTCM registration process and building management systems (or ability to learn quickly).


Comfortable handling claims and issue resolution through Airbnb or booking platforms.


Basic research skills and ability to assist with light social media tasks (e.g., scheduling posts, organizing content).
