Role Overview
You will support the operational backbone of the company by helping monitor fleet health, repair progress, preventive maintenance, internal team communication, and compliance tracking. This role is built for someone who can stay organized, follow up consistently, and help reduce downtime by making sure repair and maintenance issues are tracked, communicated, and completed properly.

What You’ll Be Doing
• Monitoring truck and trailer maintenance, repair status, and service progress
• Tracking real time repair updates and following up with mechanics, dispatch, and internal teams
• Coordinating with mechanics, dispatch, and internal teams to prioritize urgent repairs
• Supporting preventive maintenance planning to help reduce breakdowns and downtime
• Updating maintenance trackers, dashboards, TMS, and internal systems with accurate repair notes and status updates
• Reviewing and tracking repair approvals, invoices, estimates, and billing updates
• Helping ensure DOT and FMCSA maintenance related compliance items are properly monitored
• Identifying repair delays, recurring equipment issues, and downtime risks early
• Escalating urgent maintenance concerns to the appropriate tea
• Maintaining clean documentation for repairs, maintenance history, internal team communication, and follow ups
• Following instructions consistently and executing with precision
• Staying team oriented, coachable, and open to feedback without ego
What Success Looks Like
• Fleet maintenance and repair trackers are consistently accurate and up to date
• Repair progress is monitored closely from start to completion
• Urgent equipment issues are escalated quickly and clearly
• Downtime risks are identified early and communicated properly
• Preventive maintenance items are followed up on before they become larger issues
• Mechanic, dispatch, and operations updates are organized and documented
• Repair approvals, invoices, and billing items are tracked cleanly
• Equipment status updates are communicated clearly, both verbally and in writing
• Shift handoffs are complete, accurate, and well documented
Who We’re Looking For
• Has experience in fleet maintenance, trucking operations, logistics, dispatch support, or administrative fleet operations
• Has basic mechanical knowledge or familiarity with trucks, trailers, repairs, and maintenance processes
• Understands the importance of equipment uptime, preventive maintenance, and fast repair follow up
• Highly organized and comfortable working with spreadsheets, dashboards, TMS, and maintenance tracking tools
• Able to monitor multiple repairs, trucks, trailers, and mechanics updates without losing accuracy
• Communicates clearly and professionally with mechanics, drivers, dispatch, and internal teams
• Pays strong attention to detail and uses sound judgment when issues arise
• Understands urgency and prioritization in a live logistics environment
• Familiar with DOT and FMCSA maintenance compliance requirements is a plus
• Follows instructions consistently and values clean processes
• Works well with a team and is open to feedback and coaching. Collaborates without resistance or ego
• Minimum of 50 words per minute

Schedule & Work Setup
• Full Time Remote Role | Direct Hire to US Company
• Work Schedule: Thursday to Monday 7 AM - 5 PM CDT
• Training Schedule: Tuesday to Friday 7 AM - 5 PM CDT
• Zoom presence required
• Time tracking software used for accountability and performance support
• Reliable internet connection and home office setup required for real time communication
