Finance Controller / Bookkeeping & AP-AR Manager — Fast-Growing DTC E-Commerce Brand (Remote)

About Us
We're a fast-scaling direct-to-consumer e-commerce brand (Shopify) that has grown from $100K to $800K+ per month and is on track to 8-figures in the next 12–18 months. We sell physical products globally, run paid media at scale, and work with multiple agencies and suppliers. We move fast, we run lean, and we obsess over numbers. We're now building out our finance function and need someone to own the day-to-day money operations so the founders can stop touching invoices.

The Role
You'll be the person who keeps our finances clean, organized, and on time. EVERY DAY.
You own accounts payable, accounts receivable, invoice management, payment preparation, and bookkeeping coordination. You will NOT have authority to move money on your own. Every payment you prepare goes to a founder for final approval. You're the engine; the founders keep the keys.

What You'll Own
- Manage a central accounting inbox — receive, organize, and log every vendor invoice
- Prepare payments in our banking platforms (Slash, Airwallex, Chase) for founder approval — never execute without sign-off
- Track all recurring vendors (marketing agencies, ad platforms, software, contractors) and flag anything off-pattern
- Maintain a clean, real-time AP aging report — we never want a surprise on what we owe
- Reconcile Shopify payouts, merchant fees, and bank statements
- Coordinate with our external bookkeeper/accountant (monthly close, P&L, categorization questions)
- Keep our expense categorization correct: ads vs. marketing agencies vs. R&D vs. operating expenses are NOT the same bucket — you'll learn our framework and protect it
- Maintain spreadsheets/trackers for cash position, upcoming payments, and vendor spend
- Help prepare monthly financial reports and budget sheets as you grow into the role

You're a Fit If You Have
- 2+ years in bookkeeping, accounts payable/receivable, or finance operations for an e-commerce or DTC business
- Hands-on experience with QuickBooks (or similar) and reconciling high transaction volume
- Comfort working inside Shopify, modern banking apps, and payment platforms
- Sharp attention to detail. You catch the $54 fee, the double-charge, the miscategorized expense
- Strong English, clear written communication, and the discipline to stay on top of deadlines without being chased
- A security-first mindset. You understand why second approvals exist and you never cut corners
- Bonus: experience with Triple Whale, e-commerce P&L structures, or working with US-based entities
