JOB OVERVIEW

About the Role:
We're looking for a proactive, detail-oriented Operations & Project Coordinator to support our fast-growing government and commercial FF&E business. This role is designed to take key operational, administrative, and project execution tasks off the leadership team's plate, allowing the business to scale efficiently. You’ll work closely with our partners, virtual assistants, specifiers, and vendors to ensure smooth operations, timely responses to RFQs/RFPs, and successful project coordination.

Responsibilities:

Manage and track active quotes, bids, and proposals in collaboration with the leadership team

Coordinate project timelines, deliverables, and communication with clients, vendors, and internal team

Help draft and polish proposals and capability statements

Own and refine operational processes (SOPs, tools, templates, etc.)

Assign and track tasks across the team (designers, virtual assistants, etc.)

Prepare reports and summaries to keep leadership focused on high-level business development

Serve as a liaison for communications, keeping inboxes and follow-ups on track

Assist with CRM (Pipedrive) management and ensure up-to-date data and pipeline visibility

Qualifications:

3+ years of experience in project coordination, operations, or executive support

Experience in government contracting or FF&E/furniture industry is a big plus

Strong organizational and multitasking skills

Excellent written and verbal communication skills

Comfortable working remotely and using project management tools (Google Workspace, Trello/Asana, etc.)

Self-starter with the ability to anticipate needs and run with them
