JOB OVERVIEW

We run a growing e-commerce group (multiple DTC brands) and we're looking for an experienced Executive Assistant / Operations Coordinator to become the right hand of the two founders and the operational backbone of the entire business.

This is a high-trust, high-leverage role. You won't just complete tasks — you'll keep the whole operation moving: coordinating the team, managing suppliers, driving every project to completion, and making sure nothing slips through the cracks. If you're proactive, obsessively organized, and you love being the person everyone relies on, this is for you.

WHAT YOU'LL DO
• Be the right hand to the two founders — own their priorities, to-dos, follow-ups, calendar and inbox; keep them focused on strategy by taking everything else off their plate.
• Coordinate the team & projects — keep our builder, media buyer, creatives and support staff on track; run our project management tool (ClickUp / Notion); chase deadlines and unblock work.
• Manage suppliers & orders — communicate with suppliers, track orders and shipments, resolve issues, and handle the recurring daily operational tasks for our main store.
• Own daily operations — admin, data entry, order follow-up, organizing files and processes, and the dozens of small tasks that keep a business running.
• Support new brand launches — replicate our processes for every new brand we launch, and keep everything organized and documented (SOPs).
• Track progress & flag blockers — give us clear visibility on what's done, what's stuck, and what needs attention.

YOU'RE A GREAT FIT IF YOU
• Have 2–3+ years as an Executive Assistant, Operations Coordinator or Project Manager — ideally in e-commerce / DTC.
• Communicate in excellent written and spoken English.
• Are extremely organized, proactive and reliable — you take ownership and follow through without being chased.
• Are fluent with tools: project management (ClickUp, Notion, Asana), Google Workspace, spreadsheets, and basic Shopify / e-commerce admin.
• Have experience communicating with suppliers (overseas suppliers a big plus).
• Can work full-time with solid daily overlap with European hours.

NICE TO HAVE
• Shopify / e-commerce operations experience.
• Experience coordinating remote teams.
• Light finance / bookkeeping or reporting experience.
