About the Role
We are seeking a dedicated Executive Assistant to support the CEO of our growing dog training and grooming business. The ideal candidate will be a detail-oriented professional with experience in the pet industry who can efficiently manage administrative tasks while providing operational support for our client-focused business. This role requires someone who loves organization, excels at multitasking, and shares our passion for providing exceptional service to pets and their owners.
Key Responsibilities
Executive Support
- Comprehensively manage the CEO's
- Maintain an organized calendar, scheduling appointments, training sessions, consultations, and business meetings
- Handle phone calls and serve as the primary point of contact for the CEO
- Prepare documents, presentations, and materials for meetings and training sessions
- Plan and coordinate business travel when required
Administrative Management
- Maintain organized filing systems for both digital and physical documents
- Process invoices and handle basic bookkeeping tasks
- Manage office supplies and equipment
- Create and standardize operational procedures and templates
- Assist with marketing materials and social media content planning
Operational & Client Support
- Oversee client management systems and maintain detailed client records
- Schedule and coordinate dog training sessions and grooming appointments
- Follow up with clients for feedback and manage the customer experience
- Track client retention and implement strategies to improve loyalty
- Assist with onboarding new clients and processing service agreements
- Coordinate with trainers, groomers, and other staff to ensure smooth operations
Qualifications & Experience
Required
- 2+ years of experience in administrative or executive assistant roles
- Experience in the pet industry, dog training, or animal care services preferred
- Proficiency with office software, including
- Strong organizational skills with exceptional attention to detail
- Excellent written and verbal communication abilities
- Experience with client management systems or CRM software
- Ability to manage confidential information professionally and ethically
Preferred
- Knowledge of dog training methodologies and grooming practices
- Experience working in a small business or entrepreneurial environment
- Familiarity with scheduling software and payment processing systems
- Background in customer service or client relations
- Understanding of pet business operations and industry standards
