Design VA for a Fast-Growing Custom Gift Brand (Etsy Shop)
Our Shop is a top 1% Etsy seller making personalized gifts that people actually keep: comfort color tees and sweatshirts, can coolers, banners, wall art, tote bags, and keepsakes for weddings, bachelorette weekends, graduations, and family milestones. We move between 1,200 and 5,000 orders a month, and we are building the kind of behind-the-scenes system that lets a small, creative team run a big operation with zero chaos.

We are looking for a detail-obsessed Design VA to join us and own the order-to-design workflow alongside our current CEO..


We have been working on a system to aggregate all of our orders on a master excel spreadsheet which will become your main workspace along with Canva. The sheet hands you the order details, the personalization notes, and a direct link to the right Canva template for that product. Your job is to bring each order to life accurately, get it approved, and keep the queue moving.
What you will do
Work from our Google Sheet daily, claim new orders, and keep each one's status up to date
Open the linked Canva template and apply the buyer's personalization: names, dates, locations, colors, and sizes
Double-check every detail against the order so nothing ships with a misspelled name or wrong colors.
Export print-ready designs and upload them for the founder's approval
Eventually, work within our Pritify account to fulfill orders.
Make clean revisions when requested
Flag anything unclear or missing before it becomes a problem, rather than guessing
As you grow into the role, help keep our listings and naming conventions consistent across the entire catalog.
Who you are
Must haves

Experience with Etsy shop management, Printify, & similar ecommerce platforms
Past work with personalized or custom products
Tidy file management and naming habits
Advanced Canva skills. You are comfortable with templates, text layers, image uploads, and brand colors
Relentless attention to detail. On personalized products, a single typo is a reprint and an unhappy customer
Confident in Google Sheets: filtering, sorting, and working with dropdowns
Strong English reading comprehension. You can interpret informal or abbreviated buyer notes correctly
Good time management. You can prioritize a queue by ship date and work through it efficiently
Self-directed. You can run from a sheet without someone checking in on you all day

A real design eye: a feel for color, type, and layout

The details
Remote, flexible hours (between 12 am EST and 10 am EST) *6-8 hours shift per day
Turnaround expectation: designs completed and uploaded within the production window, usually within 24 hours of order placement (excluding weekends)
Seasonal volume. Bachelorette season, holidays, and graduation periods are our busy stretches
Paid Trial period for 1-2 months to kick off our work together
