The Project Manager Assistant will help manage project coordination, scheduling, documentation, communication, and follow-up from project kickoff to closeout.
This is not a basic admin role — we need someone who can think like a coordinator, keep teams accountable, and help move projects forward.
Key Responsibilities
Project Coordination
Support Project Managers with daily project coordination
Track schedules, milestones, deadlines, and deliverables
Follow up on pending tasks and action items
Help ensure projects stay on schedule
Documentation Management
Maintain and organize project documentation including:
Contracts
Proposals
Shop Drawings
RFIs
Submittals
Change Orders
Meeting Notes
Progress Reports
Communication & Follow-Up
Coordinate communication with:
Clients
Vendors
Subcontractors
Internal teams
Installation crews
Responsibilities include:
Scheduling meetings
Sending follow-up
Tracking approvals
Escalating delays or issues
Administrative Support
Update project trackers and dashboards
Prepare reports and summaries
Assist with budget and expense tracking
Support project closeout packages
Requirements
Experience as:
Project Coordinator
Project Manager Assistant
Construction VA
Operations Coordinator
Strong written and spoken English
Excellent organizational skills
Strong follow-up discipline
Ability to manage multiple projects simultaneously
Comfortable working remotely in a fast-paced environment
Preferred Qualifications
Experience with:
Construction or architectural projects
Shop drawings
RFIs / Submittals / Change Orders
Project scheduling
