Job Summary:
We are seeking a detail-oriented, tech-savvy, and self-motivated Data and CRM Specialist to support the owner of a growing wealth management firm. This role focuses on managing client data, optimizing CRM workflows using Redtail, handling basic QuickBooks tasks, and learning and utilizing various wealth management tools as needed. The ideal candidate thrives in a dynamic environment and is committed to continuous learning.

Key Responsibilities:
Data Management:
• Maintain, update, and organize client records in Redtail CRM.
• Ensure data integrity by performing regular audits of client information.
• Assist with importing, exporting, and reporting data from the CRM.
• Track and document key client interactions and follow-ups in the system.
CRM Management (Redtail):
• Customize and optimize workflows in Redtail CRM to improve efficiency.
• Generate and distribute client reports as needed.
• Manage and assign tasks within the CRM to ensure timely completion.
• Stay current on Redtail updates and features, incorporating new tools into daily workflows.
QuickBooks Management:
• Enter, categorize, and reconcile transactions in QuickBooks.
• Maintain accurate financial records for tracking and reporting purposes.
• Generate simple financial reports and summaries.
• Support with invoice creation and basic expense tracking.
Wealth Management Tools:
• Learn and effectively use various software and tools specific to wealth management, such as financial planning platforms, client portals, and reporting tools.
• Take initiative to master new systems through self-directed learning, tutorials, and resources provided by the firm.
• Integrate new tools into workflows to improve client service and operational efficiency.
Administrative Data Support:
• Organize digital files and records to ensure easy accessibility.
• Assist in preparing data for client reviews or presentations.
• Collaborate with the owner to implement systems for improved data management.

Qualifications:
Education & Experience:
• Associate’s or Bachelor’s degree in a related field.
• 2+ years of experience in data management, CRM, or bookkeeping roles.
• Familiarity with Redtail CRM is preferred.
• Experience with QuickBooks is required.
• Prior experience in financial services or wealth management is a plus.
Skills:
• Strong organizational skills and attention to detail.
• Comfortable using AI tools and willing to learn more about AI integration.
• Self-motivated with the ability to learn new tools and systems independently.
• Proficient in Microsoft Office Suite (Excel, Word, Outlook).
• Proficient in Google Workspace.
• Ability to troubleshoot and improve data workflows.
• Strong communication skills for collaboration and reporting.
• Comfortable handling sensitive and confidential information.
