CRM & Workflow Automation Specialist (Zoho) – Remote, Philippines

If yes, we have an exciting opportunity for you! We’re an innovative, fast-growing Australian health technology company looking for a CRM & Workflow Automation Specialist to join our team. This is a remote-first role – work from anywhere in the Philippines (yes, your home office counts!) and collaborate with our Aussie team from 9:00 AM to 6:00 PM AEST.
In this role, you’ll be our go-to guru for all things CRM and process automation. You’ll take the lead in managing and supercharging our Zoho ecosystem (Zoho One, Zoho CRM, Zoho Projects) and integrating it seamlessly with other tools like HubSpot and Zapier. Your mission, should you choose to accept it: streamline workflows, eliminate tedious manual tasks, and build smart integrations that keep our operations running like a well-oiled machine. By automating what others thought impossible, you’ll free up our team to focus on what really matters – delivering cutting-edge healthcare solutions. And you won’t be doing this alone: you’ll work closely with our CTO and leadership, turning big-picture ideas into reality and having a direct hand in shaping our tech strategy.

What You’ll Do (Responsibilities)
• Own our Zoho platforms: Configure, customize, and maintain our Zoho One apps (CRM, Projects, etc.) to meet evolving business needs. You’ll make Zoho CRM sing for our sales, marketing, and support teams.
• Integrate everything: Ensure our systems talk to each other. Connect Zoho with HubSpot, other SaaS tools, and internal systems so data flows seamlessly and everyone has the info they need. No system is an island on your watch.
• Automate workflows: Design, build, and deploy automated processes to eliminate manual work. This means writing smart Zoho Deluge scripts, setting up multi-step Zapier zaps, and crafting HubSpot workflows that handle the boring stuff (because manual data entry is so last decade) while humans focus on high-value tasks.
• Troubleshoot & optimize: Be the first responder when an automation fails or data stops syncing. Debug and resolve issues across CRM, Zapier, and API integrations quickly, and find long-term fixes. Continuous improvement is your mantra – if something can be better or faster, you’ll make it happen.
• Develop custom solutions: When out-of-the-box tools aren’t enough, create custom functions and integrations to extend our capabilities. Whether it’s a script to auto-generate reports or a bespoke API integration between Zoho and another platform, you’ll build it to fit our needs.
• Support strategic projects: Work closely with the CTO on special tech initiatives. Align our CRM and workflow automations with broader business goals, ensuring that new projects (like launching a new service or platform) are set up for success with the right systems in place.
• Collaborate across teams: Partner with marketing, sales, operations, and other departments to understand their process pain points. Then use your tech magic to solve them. You’ll translate real-world needs into technical solutions – and everyone will love you for making their jobs easier.
• Document and train: Create clear documentation for your setups and workflows so we all know how things run under the hood. Provide training and support to tea
• Be the automation champion: Stay on the lookout for new features and tools. Maybe there’s a Zoho update or a nifty API that could save us even more time – you’ll spot it and advocate for it. In short, you continuously innovate and drive a culture of automation in the company.
What You’ll Bring (Qualifications)
• Zoho expertise: Hands-on experience with Zoho CRM and the Zoho One suite. You know how to customize modules, fields, and workflows, and you’ve even written or tweaked Zoho Deluge scripts to create custom functions. (If you have official Zoho certifications, even better.)
• CRM & automation experience: 2+ years in CRM administration and process automation. You’ve managed a CRM system and built workflows or bots – ideally in Zoho, but experience with other platforms (Salesforce, HubSpot, Dynamics, etc.) counts if you can learn new systems quickly.
• Zapier & integration skills: Proven ability to use Zapier (or similar integration tools) to connect apps and automate tasks. You understand how to work with APIs or webhooks to get systems talking. If an app has a REST API, you’re comfortable exploring it and building integrations.
• HubSpot familiarity: Experience with HubSpot (or other marketing CRM tools) is a big plus. You can create or adjust HubSpot workflows and have an idea of how to sync data between HubSpot and other systems.
• Technical savvy: You’re comfortable with data and tech. Maybe you’ve written scripts, SQL queries, or managed cloud apps. You can dissect a data flow and ensure consistency across platforms. If you’ve built reports or dashboards to turn CRM data into insights, that’s a bonus.
• Problem-solving mindset: When faced with a workflow glitch or an inefficient process, you’re eager to fix it. You’re resourceful, logical, and relentless when troubleshooting. To you, challenges are puzzles waiting to be solved.
• Detail-oriented: Data integrity and security are paramount to you. You pay attention to the little things – because in automation, one small error can snowball. You double-check your work and take pride in getting things right.
• Great communicator & collaborator: Excellent written and spoken English skills. You can talk tech with developers and plain English with non-tech folks. In a remote setting, you keep everyone in the loop and document your work clearly. You work well with others and can coordinate projects without a hitch.
• Self-driven & adaptable: You manage your time and projects independently. We won’t micromanage you – we expect you to take ownership and deliver. You adapt quickly when priorities change and thrive in a fast-paced, startup-like environment.
• Education & extra credit: A bachelor’s degree in IT, Computer Science, Business, or a related field is nice to have (but not required if you have the skills). Relevant certifications – Zoho (CRM/Creator), Zapier, HubSpot, etc. – will definitely earn you brownie points.
