JOB OVERVIEW

Eisen Stays is seeking a highly skilled and detail-oriented Property Management and Accounting Systems Specialist to join our team. The ideal candidate will have extensive experience with Buildium, a strong background in both residential and commercial property management, and proficiency with Microsoft Office 365, including Project, Teams, and Outlook. This role requires excellent English communication skills, both written and verbal, and the ability to handle various accounting tasks with precision. You will also work closely with our local onsite property managers and assistants.

Responsibilities


Property Management:

- Buildium Expertise: Ensure all transactions, records, and data entries are accurate and current using Buildium.

- Tenant Communication: Handle all tenant communications, including lease renewals, maintenance requests, and general inquiries with professionalism and efficiency.

- Lease Management: Oversee lease agreements, renewals, and ensure compliance with all regulations.

- Maintenance Coordination: Schedule and oversee maintenance and repairs, coordinating with vendors and ensuring timely completion of work.

- Tenant Screening: Assist in the screening and selection of new tenants, including background and credit checks.

- Compliance: Ensure all properties are compliant with local, state, and federal regulations.

- Administrative Support: Provide general administrative support to the property management team as needed.

- Collaboration: Work closely with local onsite property managers and assistants to ensure smooth operations.


Accounting Systems:

- NNN Charges & CAM Reimbursement: Accurately calculate, manage, and reconcile NNN (Triple Net) charges and CAM (Common Area Maintenance) reimbursements.

- Submetering Entries: Perform and manage submetering entries for tenant utility billing.

- E-Sign Processes: Facilitate and streamline the electronic signing of documents and agreements.

- Accurate Bookkeeping: Maintain precise bookkeeping records for all property-level accounting, ensuring all financial transactions are properly documented and categorized.

- Bank Reconciliation: Conduct monthly bank reconciliations to ensure all accounts are balanced and discrepancies are resolved.

- Financial Reporting: Prepare regular financial reports, including income statements, balance sheets, and cash flow statements for management review.


Development Projects:

- Tenant Improvement Tracking: Support the development of multi-tenant commercial properties, including tracking tenant improvement (T/I) offers and expenditures.

- Accounting Support: Collaborate with our bookkeeper and CPA, who handle all our company finances but are not proficient in property management accounting, specifically with Buildium, which has been a challenge for us.


Requirements:

- Proven experience with Buildium property management software.
- Strong background in both residential and commercial property management.
- Proficiency with Microsoft Office 365, including Project, Teams, and Outlook.
- Excellent English communication skills, both written and verbal.
- Proficiency in accounting and bookkeeping practices.
- Ability to manage tenant communications and handle sensitive information.
- Strong attention to detail and accuracy.
- Ability to work independently and manage time effectively.
- Reliable internet connection and a suitable workspace for remote work.
- Based in the Philippines, with reliable internet access for remote work.


Preferred Qualifications:

- Experience with multi-tenant commercial property development.
- Familiarity with tenant improvement (T/I) tracking and management.
- Background in overseeing third-party property management.
