Job Title: Bookkeeper – Vacation Rental Property Management
Location: Remote
Employment Type: Full-Time

Job Summary:
We are seeking a detail-oriented and experienced Bookkeeper to oversee financial operations for our vacation rental property management business. The ideal candidate will have experience in trust accounting and be proficient in managing financial records, expense tracking, reporting, and compliance for short-term rental properties. Preference will be given to candidates with experience migrating data to Vacation Rental (VR) Platforms, VR Trust Accounting Tools, or any accounting software.
Key Responsibilities:
Trust Account & Financial Management
-Balance trust accounts monthly to ensure they are fully funded to cover liabilities.
-Accurately allocate deposits and income from Airbnb, VRBO, and other booking platforms.
-Track and reconcile expenses to maintain accurate financial records.
-Prepare and distribute monthly owner statements.
Vendor & Client Financial Administration
-Collect and maintain W-9s from vendors.
-Prepare and submit quarterly and annual financial reports for clients.
-Process and issue 1099s for vendors.
-File quarterly and annual excise tax payments for the business and clients.
-Manage vendor payments and owner disbursements.
-Execute payroll processing as required.
Financial Planning & Compliance
-Develop and implement financial systems and routines to improve efficiency.
-Support licensing and registration requirements with the city as needed.
-Reconcile bank accounts, credit cards, escrow balances, and loans monthly to ensure financial accuracy.
-Monitor accounts for fraudulent activity and discrepancies.
-Stay updated on local, state, and federal tax regulations to ensure compliance.
Reporting & Budgeting
-Generate and present weekly financial reports and updates to the CEO.
-Review profit and loss (P&L) statements with leadership, providing insights and recommendations for cost savings.
-Assist in budget preparation and management.
-Provide auditing support by compiling documentation for internal or external reviews.
-Assist in revenue forecasting, leveraging booking data and historical performance trends.
Process Improvement & Automation
-Identify opportunities to automate financial reports and workflows to improve efficiency.
-Perform additional financial and administrative tasks as required by leadership.
Preferred Qualifications:
-2+ years of bookkeeping/accounting experience (preferably in vacation rental or property management).
-Experience with trust accounting for vacation rentals.
-Proficiency in migrating data to Vacation Rental Platforms, VR Trust Accounting Tools, or accounting software.
-Familiarity with Airbnb, VRBO, and other short-term rental financial structures.
-Strong knowledge of QuickBooks, or other accounting/property management software.
-Excellent attention to detail and ability to work independently.
-Strong analytical and problem-solving skills.
