JOB OVERVIEW

We’re looking for a tech-savvy and detail-oriented Assistant Project Manager to help manage digital projects, coordinate with developers and marketers, and ensure everything runs smoothly. If you have experience working with WordPress, marketing automation, paid ads, and process documentation, this role is for you!

We encourage new ideas, initiative and innovation. We’ve implemented an Agile Scrumban framework for fulfillment and work allocation (similar to Kanban Boards) which makes for a dynamic workplace.

You will be working extensively with our current project manager for task management and possible QA reviews.

You must be available to work full-time between 8 am and 4 pm Central Standard Time Monday to Friday.

The successful hire starts with part-time hours and has a growing level of responsibilities. Through progressive responsibilities this becomes a full-time role.

Responsibilities
- Availability from 8 am to 4 pm Central Standard Time (Guatemala/Costa Rica)
- Developing online funnels by creating the webpages (landing, thank you, sales, checkout, upsell, downsell) and automated email marketing sequence
- Design and develop Divi WordPress websites with WooCommerce, LearnDash and WP Fusion
- Design websites, wireframes, ad images, logos and graphics in Figma
- WordPress Front–End Divi Theme Responsibilities
- Proficient in WordPress to manage and update the front-end of existing Divi Theme business websites pages.
- Creating front-end funnel pages: landing pages, thank you pages, sales pages, checkout pages and upsell pages
- Creating custom post types (CPT) and custom fields (ACF Pro)
- Troubleshoot and resolve technical issues related to website and CRM functionalities.

WooCommerce Responsibilities (Optional)
- Creating and updating products
- Scheduling sales and coupons
- Managing WooSubscriptions
- Creating custom checkout links
- Creating upsells and downsells

LearnDash (Optional)
- Experience creating courses, lessons and topics in LearnDash
- Controlling course access and protecting pages
- Styling LearnDash

CRM and ActiveCampaign Responsibilities (Optional)
- Experience with CRM systems, particularly ActiveCampaign (FunnelKit, FluentCRM), to handle segmenting comprehensive - customer data, scheduling email campaigns, and configuring automations.
- Troubleshoot and resolve technical issues related to website and CRM functionalities.
Task Management and Problem Solving
- Must be able to manage tasks efficiently, meet deadlines, and problem-solve independently.
- Demonstrate a proactive and self-starting approach to work.
- ClickUp experience is beneficial but not required
- Record “how-to” videos and create explainer documents (for others to follow your steps or understand the proper process)FunnelKit, FluentCRM)

Project & Team Coordination:
- Manage web development and digital marketing projects, ensuring deadlines and deliverables are met.
- Keep developers accountable and ensure adherence to SOPs and best practices.
- Organize and track project progress using project management tools like ClickUp or Asana.
- SOPs & Process Improvement:
- Document workflows, create SOPs for development, marketing, and automation, and ensure best practices are followed.
- Continuously refine processes to improve efficiency and scalability.
- Communication & Problem-Solving:
- Coordinate with developers, designers, and marketers to align projects with business goals.
- Proactively identify roadblocks, troubleshoot issues, and ensure smooth project execution.
- Balance multiple stakeholders’ priorities, ensuring expectations are managed effectively.

Requirements
- Strong verbal and written communication skills in English to interact with clients and team members effectively.
- Full-time availability from 8 am to 4 pm Central Standard Time (Costa Rica)
- Microphone and camera (required for all meetings)
