Job Summary:
We are seeking an experienced Administrative and Systems Coordinator to design and manage Asana workflows, organize our digital assets, and ensure that business processes are streamlined and efficient across our platforms. The ideal candidate is highly organized, tech-savvy, and experienced in project management and administrative tasks.
Key Responsibilities:
Asana Design and Management:
Design, implement, and maintain Asana workflows for various projects and teams.
Create task templates and project plans to ensure consistent project management practices.
Train tea
Monitor and update Asana tasks and projects to ensure timelines and deadlines are met.
Asset Management:
Organise and manage digital assets, ensuring easy access and retrieval of files.
Maintain a consistent naming convention and tagging system for all digital assets.
Ensure all assets are up-to-date and adhere to brand guidelines.
Collaborate with various teams to identify asset needs and ensure they are met.
Systemizing Roles and Processes:
Document and systemize roles, responsibilities, and workflows within the business.
Create standard operating procedures (SOPs) and training materials for various roles and tasks.
Implement and manage digital tools and platforms to streamline business processes.
Ensure all processes are documented and accessible to relevant tea
Administrative Support:
Provide administrative support to the operations team and other departments as needed.
Assist with scheduling,
Coordinate with remote tea
Continuous Improvement:
Continuously seek ways to improve efficiency and effectiveness of administrative and project management processes.
Stay up-to-date with the latest tools and technologies for project management and digital asset management.
Provide insights and recommendations for process enhancements.
Requirements:
Proven experience as an Administrative Coordinator, Project Manager, or similar role.
Proficiency in Asana or other project management tools.
Strong organizational and time-management skills.
Excellent attention to detail and problem-solving abilities.
Ability to work independently and collaboratively in a fast-paced environment.
Excellent communication and interpersonal skills.
Proficiency in digital asset management and administrative software.
Experience in creating and documenting business processes and SOPs.
Degree in Business Administration, Project Management, or a related field is preferred.
