Position: QuickBooks & Bookkeeping Specialist

Responsibilities:
1. Bookkeeping & General Ledger Management
Maintain accurate financial records for multiple businesses using QuickBooks Online & Desktop.
Record daily financial transactions and reconcile accounts.
Manage and organize financial documents and receipts.
Categorize and classify expenses properly for tax and financial reporting.
2. Reconciliation & Account Maintenance
Perform bank, credit card, and merchant account reconciliations to ensure accurate financial records.
Reconcile loans, investments, and intercompany transactions.
Identify and correct discrepancies in financial reports.
3. Payroll & Employee Payments
Process bi-weekly and monthly payroll for employees and contractors.
Ensure compliance with state and federal payroll tax regulations.
Manage employee deductions, benefits, and reimbursements.
Prepare and file W-2s and 1099s annually.
4. Tax Preparation & Compliance
Prepare and organize financial statements for quarterly and annual tax filings.
Work with accountants and tax professionals to ensure tax compliance.
Ensure accurate recording of tax-deductible expenses and depreciation schedules.
File sales tax, payroll tax, and estimated tax payments as needed.
5. Financial Reporting & Budgeting
Prepare monthly, quarterly, and annual financial reports.
Generate profit & loss statements, balance sheets, and cash flow reports.
Assist in budgeting, forecasting, and financial planning.
Provide financial insights to support business growth and decision-making.
6. Clean-Up & Organization of Accounts
Conduct historical clean-up and organization of financial records.
Identify and rectify inconsistencies, duplicate entries, and miscategorized expenses.
Implement best practices for financial organization and efficiency.
7. Vendor & Invoice Management
Manage accounts payable and accounts receivable.
Process invoices, vendor payments, and expense reimbursements.
Follow up on outstanding payments and maintain positive vendor relationships.
8. Systems & Process Improvement
Optimize QuickBooks setup and workflows for efficiency.
Implement automations for invoicing, billing, and reporting.
Maintain a clear record-keeping system for audits and financial reviews.
Qualifications:
? 3+ years of experience in bookkeeping, accounting, or financial management.
? QuickBooks Online & Desktop experience required.
? Strong knowledge of GAAP accounting principles.
? Experience in payroll processing & tax preparation.
? Familiarity with multi-business financial management.
? Strong analytical and problem-solving skills.
? Detail-oriented with a high level of accuracy.
? Ability to work independently and meet deadlines.
Preferred Qualifications:
Experience in real estate, e-commerce, or entertainment industries.
Knowledge of tax laws, deductions, and business compliance.
Familiarity with financial integrations (e.g., PayPal, Stripe, QuickBooks integrations).
