I didn’t start in Virtual Assistant work, but I’ve been doing pieces of it for years without calling it that.

In my role with the government agency, I worked as a Project Development Officer II/ Case Manager handling actual field-based coordination and admin work. Most of my day was spent dealing with beneficiary records, case management, updating case files, and making sure every detail in the reports matched what was happening on the ground. If something was missing or incorrectly encoded, it wasn’t just a paperwork issue, it affected real families and delayed assistance. I also coordinated constantly with barangay officials and internal teams, especially when cases needed verification or follow-ups. It taught me quickly that staying organized isn’t about preference, it’s about survival when you’re handling volume and deadlines at the same time.

On top of that, I’ve been deliberately training myself for remote executive support work. I didn’t just study tools in theory, I practiced them by recreating real workflows. I used Microsoft Office and Google Workspace for documentation and reporting, Notion for structuring tasks and notes, and worked through mock scenarios that involved scheduling, tracking tasks, and organizing information the way an assistant would in an actual workload.

I also got hands-on familiarity with tools like Asana, Trello, ClickUp, Slack, and Zoom. What stood out to me there wasn’t just how they work, but how teams actually depend on them to stay aligned, assigning tasks, tracking progress, and avoiding miscommunication when everyone is remote. For scheduling and file management, I’ve used Calendly, Google Drive, and Dropbox to keep information accessible and structured instead of scattered.

Outside of my government work, I run a small business that I don’t manage on-site day to day. I only visit once a month, but I’m still able to keep the operations running smoothly through proper coordination, communication, and trust with the people on the ground. Most of the management happens remotely; checking updates, handling decisions, and making sure day-to-day issues are addressed even when I’m not physically there.

That setup taught me how to manage things without being constantly present. I had to rely on clear instructions, consistent follow-ups, and organized systems to keep everything moving. It also strengthened my ability to oversee operations from a distance, stay updated on what’s happening, and step in quickly when decisions are needed.

All of these experiences shaped how I work now. I’m used to handling structured admin work, real-time coordination, and business operations. That mix is what pushed me toward executive support work, it already feels familiar, just in a different setting.
